Policies and Procedures Committee
The School of Foreign Languages Policies and Procedures Committee (PPC) was established on 7 February 2019 to support consistency in practices across the School. The Committee reviews proposals for new policies and procedures and coordinates the development and review of existing documents.
Roles and Responsibilities
The Committee’s responsibilities are to:
- Review proposals for new policies and procedures and requests to revise existing documents.
- Consider their alignment with the School’s mission, objectives, and priorities.
- Prepare policy and procedure drafts and review and revise existing documents.
- Evaluate drafts in terms of need, clarity, feasibility, and consistency with existing requirements.
- Coordinate consultation, revision, and the relevant approval processes.
- Support communication of approved policies and procedures and promote awareness of them.
- Identify review needs based on feedback from implementation.
Committee members contribute the experiences and needs of the programs they represent and help seek input from relevant colleagues when appropriate.
Submitting a Proposal
SFL staff, PPC or SFL units may propose a new policy or procedure or identify a need to review an existing document. Staff and units may use the proposal form. A brief explanation of the need or issue and the rationale for the proposal is sufficient.
Where relevant policies, procedures, or requirements are known, their titles or links may be included. A complete draft is not required at the submission stage.

Working Process
- Identifying the need and initial review: The Committee considers the proposal or review need and determines the next steps.
- Drafting or revision: PPC prepares the policy or procedure draft or revises the existing document.
- Consultation and refinement: PPC seeks input from relevant programs and units and makes the necessary revisions.
- Approval and finalisation: Program coordinators review and approve the draft. If they request revisions, PPC revises and resubmits it. Following approval, PPC finalises the document.
- Communication and review: The approved document is shared with those concerned. Feedback on implementation informs subsequent reviews.
